AI Lead Recovery

Every Lead Deserves an Answer

Stop losing leads you have already paid for

You spent the money to make the phone ring. Then it rang while the crew was on a roof, and nobody called back. We build AI-powered systems that respond in seconds, qualify the lead, book the appointment and keep following up — on the leads your advertising already bought.

The expensive part already happened

Getting a homeowner to call you is the hard, costly part. Google Ads, Local Services Ads, SEO, Meta, referrals — all of it exists to produce one ringing phone. What happens in the next five minutes decides whether that money turned into a job, and in most local service businesses nobody owns those five minutes.

  • ✗The phone rings during a job, nobody picks up, and no one calls back
  • ✗A form comes in at 7pm and gets seen at 9am the next morning — by which time they have booked someone else
  • ✗One voicemail is left, no second attempt is ever made, and the lead is quietly written off
  • ✗Leads arrive across five places — phone, website form, chat, Facebook, Google — and nobody is watching all five
  • ✗The office manager means to call back, gets pulled into dispatch, and remembers at 6pm
  • ✗Weekend and after-hours leads land in an inbox nobody opens until Monday

This is not a marketing problem, it is a response problem — and it is the only kind of lost revenue you have already been invoiced for. Work out your own number before you talk to anyone: take your cost per lead, multiply by the leads that got no answer last month, and then do it again with your average job value. Those two figures are the honest size of the leak. We will help you measure them; we will not invent them for you.

What the System Does

Answers a missed call with a text within seconds, while the customer is still holding the phone
Replies to website forms and live chat immediately, at 2am as readily as at 2pm
Picks up leads from Facebook lead ads, Google Local Services and your website in one place
Has a real conversation: what the job is, where it is, how urgent, whether it is something you actually do
Qualifies against your own rules — service area, job type, minimum job size — so your team gets sorted leads
Books straight into your calendar, or schedules a callback at a time the customer picked
Creates or updates the CRM record so nothing lives only in someone's text messages
Follows up on its own across several attempts instead of stopping after one voicemail
Hands off to a human the moment the conversation needs one — pricing disputes, complaints, anything unusual

What happens when a call goes unanswered

How We Build It

1

Audit the leak first

Before anything is installed we find out where leads arrive, how many went unanswered last month, and how long your average first response actually takes. If the answer is that you already respond in two minutes on every channel, we will tell you that and you do not need this.

2

Install and connect

Missed-call text-back on your existing number, response on your forms and chat, your lead sources connected, your qualification rules encoded, and your calendar and CRM wired in. Your phone number does not change.

3

Manage and report

We watch the transcripts, fix the places where conversations stall, tune the follow-up cadence, and report monthly on leads received, missed calls, conversations recovered, appointments generated and response time.

Audit, Install, Then Manage

The audit is worth having on its own — it tells you the size of the problem before you spend anything on solving it.

Step 1

Lead Leakage Audit

Where your leads arrive, how many go unanswered, how long the average first response takes, and what that volume is worth against your own job value.

Frequently Asked Questions

Who is this actually for?
High-value local service businesses where one recovered job pays for months of the system: roofing, HVAC, plumbing, remodeling, solar, pool service, auto services, med spas and professional services. The common thread is a job worth hundreds or thousands of dollars and a team that is physically unable to answer a phone while on a roof or under a sink. Run the arithmetic yourself before you talk to us. Pull last month's call detail record from your phone carrier, not your voicemail box, because a caller who hangs up before the beep leaves no trace there, and count the inbound calls that never connected. Multiply that count by the rate at which you normally close a first conversation, then by your average job value. That figure is the honest ceiling on what recovery is worth to you. If it comes out small, this is not your best next purchase and we will say so.
Does the AI pretend to be a person?
No. It introduces itself as an assistant for your business in the first message, and it never claims to be a named member of staff. Pretending is the fastest way to lose someone's trust in the minute that matters, and it becomes indefensible the moment a customer reads the transcript back to you. In practice customers do not object to being texted by an assistant; they object to being ignored. What they do object to is an unidentified number, so the first message names your business before it asks anything, which is also what keeps it from reading as spam. The tone is yours to set, and we keep every transcript, so you can read exactly what was said rather than take our word for it. If you want a person to take over partway through a conversation, that is a setting and a notification, not a rebuild of the system.
What happens when someone asks a question it cannot answer?
It hands off. Pricing negotiations, complaints, insurance and warranty questions, anything unusual and anything it is not confident about: it keeps the details it has already collected, tells the customer a person will follow up, and flags the conversation to your team with the transcript attached so nobody restarts from scratch. An assistant that guesses at a quote costs more than one that escalates, because the customer remembers the number they were given and you then have to honour it or argue about it. The escalation rules are yours. We usually start with hard triggers on price, scope and anything that sounds like an emergency, then add to the list from real transcripts over the first few weeks. That review is the part that matters most. What needs escalating in a given trade only becomes obvious after you have read a hundred real conversations, which is why the first month is a tuning month.
Will it annoy people with endless follow-ups?
The cadence is a setting, and a sensible one is a few spaced attempts over several days, not daily messaging. Opt-out is honoured immediately and permanently: a stop request ends every sequence, not only the one it arrived in. Quiet hours are configurable and default to something that does not text a homeowner at two in the morning about a bathroom remodel. The honest exception is emergency work, where a burst pipe at midnight wants an immediate response and no cooling-off period, so the cadence is set per lead type rather than once per account. The comparison is the thing worth weighing. Being ignored for two days annoys a customer considerably more than a second text does, and this person already contacted you, so the conversation is one they asked for. If a sequence starts generating complaints we shorten it, and that shows up in the transcripts long before it shows up in your reviews.
How is this different from your Lead Generation service?
Opposite jobs. Lead List Generation goes and finds new prospects for you to contact. Lead Recovery deals with the people who already contacted you and did not get an answer. If you are losing inbound leads, buying more of them first is the expensive way round, and the arithmetic is easy to check for yourself: compare what you currently pay to produce one new lead against what it would cost to answer the ones already arriving. The second number is almost always smaller, because the acquisition cost on those leads has already been spent. There is a genuine case for doing generation first, though. If you really do answer every inbound call and form inside a few minutes, recovery has nothing to recover and what you need is more volume. That is exactly what the leakage audit establishes before anything gets installed, and if it says you are already fast we will point you at generation instead.
Can you show me a dashboard?
Yes: leads received, missed calls, conversations recovered, appointments generated and average response time, reported monthly with the raw transcripts sitting underneath the numbers. Where we can tie a booking to a job value we will show recovered revenue too, and we will label it clearly as an estimate built on the job values you gave us rather than presenting it as measured fact. There is a limit to what any dashboard here can prove, and we would rather say it now than have you find it later. A recovered conversation is not evidence that the lead would otherwise have been lost, because some of those customers would have called back on their own. Separating the two would take a holdout group, and deliberately not answering half your leads to prove a point is not something we would recommend. Read the numbers as the response gap closing, not as revenue we can claim credit for.
Do I have to change my phone number or my CRM?
No. It works on your existing number, and it connects to the CRM you already use. The mechanism is worth knowing so nothing surprises you later. Depending on your carrier, the messaging layer can often be added to your existing line so calls keep ringing exactly where they ring today; where a carrier will not allow it, the fallback is a tracking number that forwards to your line. Which of those applies to you is a question we answer during the audit, before anything is installed, rather than discovering it afterwards — and it is one of the first things we check, because it changes what the install involves. On the CRM side we write into what you have. If you do not use one, we can set up something simple, but replacing your systems is not a precondition for answering your phone faster, and a vendor who makes it one is selling you a migration you did not ask for.
