Staff Scheduling for Med Spas & Salons

A med spa schedule isn't just who's working — it's which provider is certified for which treatment, in which room, when. We build a scheduling system that respects your providers, rooms, and service rules so the front desk stops playing Tetris with the appointment book.

Why med spas & salons is different

Spa scheduling has to line up three things at once — provider, room, and service — or the day falls apart. We model those constraints so the schedule only allows valid combinations, which removes the double-bookings and certification mismatches that cost you revenue and reviews.

Frequently asked questions

Can it match providers to the treatments they're certified for?
Yes. Each provider carries the services they are cleared to perform, and each certification carries an expiry date, so a lapsed credential removes that person from the eligible list automatically instead of being noticed by someone reading a folder. You get a warning ahead of the expiry, thirty days being the usual setting, while there is still time to book the renewal. Be clear about what this is and is not: the system enforces the rules you give it, and it does not know your state's scope-of-practice requirements or your medical director's supervision policy. Those have to be written down by whoever owns compliance in your practice, and then encoded. That conversation is usually the most valuable hour of the whole build, because most spas discover the rules currently exist in three people's heads in slightly different versions. If your rules change often, keep them somewhere you can edit yourself rather than buried in code.
Does it handle treatment rooms?
Yes, and devices as well as rooms. A room is one resource; a laser that gets wheeled between two rooms is a separate one, and a booking is only valid when the provider, the room and the device are all free for the whole appointment plus the turnover time that service needs. Cleaning and reset time is set per service rather than as one global buffer, because a fifteen-minute reset on a treatment room is not the same as five minutes after a facial. That is what stops a day that looks fine on the calendar from collapsing at two o'clock. If you run one room and one device, none of this matters and a simpler calendar will serve you better. If you have ever moved a booked client because a device was tied up, count how many times that happened last quarter and what those appointments were worth. That is what the resource model buys back.
Can it connect to our booking system?
Yes, and the cleaner version is that they become one system rather than two that talk. The staff schedule becomes the source of availability, and the client-facing booking page can only offer a slot where the provider is rostered, the room is free and the device is free. Otherwise you are maintaining the same information twice and the two will drift, usually in the week you are busiest. If you already run a booking platform you like, the question is what it will let us do: some expose a proper API and can be kept in step both ways, others only offer a calendar feed, in which case a one-way push is the honest ceiling and we would tell you that before quoting rather than after. Check what your platform supports before assuming integration is possible, because that answer decides whether this is a small piece of work or a replacement project.
